Why it matters

Buy the right stock, at the right time

Every purchase order, warehouse receipt and supplier invoice links together automatically — what was ordered, what arrived and what you were billed always reconcile, line by line.

Replenishment suggestions are calculated from real demand, open sales orders and vendor lead times, so purchasing keeps pace with what the business is actually selling.

  • Reorder points and reorder quantities per item and location
  • Receipt and invoice matched against the purchase order
  • Vendor lead times and prices tracked automatically
Capabilities

What your purchasing team gets

Built around how Hong Kong importers and traders actually buy — China suppliers, mixed shipments and tight cash control.

Purchase orders & quotes

Raise a purchase quote, confirm it into an order, and email the PDF to the supplier in one step. Every revision keeps a full audit history.

Requisition & planning worksheet

Review calculated replenishment suggestions for all items in one worksheet, adjust quantities, then carry the action message into purchase orders in bulk.

Reorder policies

Set reorder points, maximum inventory and lot sizes per item and location — Business Central suggests what to buy, when and how much, including seasonal lead times.

Receipt & invoice matching

Warehouse receipt, posted purchase order and supplier invoice matched line by line — price or quantity discrepancies are caught before payment, not after.

Vendor lead-time tracking

Requested vs promised vs actual receipt dates per supplier, so you order early enough and stop accepting chronic late deliverers.

Prices & discounts

Vendor price agreements, volume breaks and campaign prices apply automatically at order entry — no more relying on the price list in someone's head.

Landed costs & charges

Freight, insurance and duty allocated to item costs by weight, volume or value — your true product cost shows in the margin report, not just the supplier invoice.

Drop shipments & special orders

Link a customer's sales line directly to a purchase line so the supplier ships straight to your customer — the goods never touch your warehouse.

Purchasing analytics

Spend by vendor, category and buyer, price-variance trends and payment-term compliance — visible in Power BI or straight from the item and vendor cards.

AI-assisted purchasing

Let the system watch the stock levels

Copilot and Bizspoke agents take over the paperwork and the watching, so buyers spend time negotiating, not chasing.

Payables Agent

Reads supplier invoice PDFs and drafts the purchase invoice, matched to the PO, for approval.

Replenishment alerts

Flags items trending towards stock-out before the sales team notices.

Price-variance checks

Highlights invoice lines priced above your agreed vendor price.

Copilot purchase analysis

Ask 'which supplier delivered latest this quarter?' and get the answer from live data.

FAQ

Questions SMEs ask us

Straight answers about running purchasing in Business Central.

Will the system really suggest what and when to buy?

Yes — every item carries a replenishment policy: a reordering policy (fixed quantity, maximum quantity or order), reorder point, safety stock and vendor lead time. Business Central runs the planning worksheet against open sales and production demand, and proposes purchase orders you can review and convert in bulk. It takes tuning in the first months — we help you set and adjust the parameters from your real sales history.

We buy from China in RMB and pay HK suppliers in HKD — is that handled?

Yes. Each vendor card carries its own currency, price list and payment terms, and exchange rates update automatically with realised and unrealised gain-loss posting. You can also add freight, duty and insurance as item charges and allocate them to the landed cost of each receipt.

Who approves purchase orders, and can we control it by amount?

Approval workflows are built in and fully configurable: approver chains, amount limits per approver, and automatic delegation when someone is on leave. Orders above the limit route up automatically, and every approval or rejection is logged with the requester, amount and timestamp.

How does purchasing connect to the warehouse?

Purchase orders release expected receipts to the warehouse, where staff receive against them — with m-In WMS connected, receiving happens by barcode scan at the dock, bin put-away is directed, and the receipt posts straight back into Business Central with full traceability.
